Clinical, regulated and multi-entity practices
Patients, families and referring colleagues increasingly ask an AI assistant where to go and whom to trust. Those answers are shaped by what the systems can find, understand and corroborate. We establish what is currently being said about your practice, correct what is inaccurate or incomplete within your control, and strengthen the content, entity signals and technical structure that support an accurate public account of your work. We do not make clinical claims on your behalf, and anything claims-sensitive goes through your own approval process.
A scored diagnostic across the assistants your patients and referrers actually use. What they say, what they cite, who they name instead, and where the account is inaccurate or incomplete.
The entity information, public content, structured data and technical conditions that influence whether AI-assisted search systems can find, understand and accurately describe your practice.
AI answers and search experiences change over time. Stewardship monitors the priority questions, maintains the agreed public information and technical signals, and reports meaningful changes in language your board can read.
Paid in advance. The Audit fee may be credited toward a qualifying Build engagement of $7,500 or more, or toward a six-month Growth Stewardship commitment, when the follow-on agreement is signed within thirty days of the Audit readout.
Visibility Snapshot
Establishes a focused baseline of how AI-assisted search experiences describe your practice when patients, families and referrers ask priority questions. A fixed prompt set, a limited baseline, a findings brief and one readout. Enough to know whether there is a problem worth solving. No implementation, and not creditable.
AI Visibility Audit
The full diagnostic. Scored across engines, a priority prompt map, entity, content, schema and technical review, a roadmap sequenced by what moves first, and one readout.
Each additional property
Applied for each additional location, legal entity, brand, domain or market included in the Audit. This keeps multi-site and multi-entity scope visible and priced before work begins.
We draft and publish only what your designated review process has approved. Statements involving clinical outcomes, treatment claims, credentials or privacy remain subject to your clinical, legal and compliance review.
We do not provide legal, privacy, security, clinical or compliance advice. Where a question needs specialist review, we document the issue and give your advisors the operating context to answer it.
Work is implemented in client-owned accounts and systems where the agreed scope permits. At handoff you retain the completed materials, documentation and access needed to run the work without ongoing dependence on us.
Build work is scoped from the Audit findings. A full website build or rebuild is quoted as a defined Growth Build engagement, with its own deliverables, timeline and fixed fee. It is not included in the monthly Growth Stewardship retainer.
Optimization
A focused improvement of an existing site. A defined set of priority pages, entity and profile corrections, structured-data improvements, and answer-ready content for the questions most relevant to patient and referral decisions.
Growth
A new site or a substantial rebuild, designed with AEO, SEO and GEO considerations from the outset rather than added afterwards. A defined set of priority pages and content assets, broader structured-data and entity work, and a measurement baseline. Internal knowledge architecture, repository design and AI-system implementation are excluded unless separately scoped.
Stewardship begins with a six-month initial term. After that term it may continue month to month at a fifteen percent premium, subject to the current scope and rate schedule.
Monitor
Defined prompt monitoring, a monthly interpretation and report, and one strategy touchpoint. No standing production allocation.
Maintain
Monitoring and reporting, plus a defined monthly allocation for approved optimization, content updates and structured-data upkeep as priority questions and public information evolve.
Growth
Higher content and technical velocity, competitive monitoring, and quarterly planning. Bounded by the allocation named in the SOW.
Additional and overage work
Performed only through written approval or a separately priced scope. If recurring requests materially exceed the agreed allocation, we recommend an adjusted scope, an add-on or a revised retainer rather than treating the work as an informal extension of the current engagement.
If recurring requests exceed the agreed monthly allocation for two consecutive months, we review the scope with you. The result may be a revised retainer, a defined add-on, or a prioritised backlog. This keeps the engagement clear about what it includes, and keeps important work from being deferred without a shared decision.
Build and Knowledge Core engagements are invoiced fifty percent at signature, forty percent at an agreed midpoint milestone, and ten percent at delivery or agreed handoff. Diagnostics are paid in advance. Stewardship retainers are billed monthly in advance.
Six months initial on every retainer. It takes about that long for the answers to move, and for the movement to mean anything.
We keep dated records of the defined prompts and the observed responses used for reporting, so a change can be reviewed against the underlying evidence.
Knowledge Core
Much of what a practice runs on lives in the experience of long-tenured staff, in informal workarounds, and in documents that are hard to find or keep current. In a regulated setting, unclear ownership and inaccessible information carry operational risk. Knowledge Core gives your team a practical way to organise, govern, maintain and hand on the operational knowledge it relies on, so that critical information does not depend on memory, inboxes or individual workarounds.
Assessment
A focused executive diagnostic. Up to six forty-five-minute stakeholder interviews, named by role. A surface-level review of up to five named repositories. A maturity score, a prioritised risk and opportunity map, a recommended first implementation sequence, one executive readout and a ninety-day roadmap. It is not a comprehensive organizational audit, systems assessment, process study, repository cleanup, implementation engagement or compliance review.
Foundation
A bounded implementation for one defined knowledge domain. An initial taxonomy, a source-of-truth register, ownership and review standards, agreed templates, a prioritised backlog, implementation in one named workspace, and handoff to designated client owners. Typical delivery four to six weeks, subject to timely client access and approvals.
Governed AI Pilot
A governed internal knowledge assistant for one approved use case. Curated knowledge inputs, a defined access model, a human-review workflow, a testing protocol and administrator training. The deployment approach, data handling, hosting environment and any required agreements are settled before implementation. We do not begin work involving protected health information or other regulated data until your designated legal, privacy, security and compliance reviewers have approved the approach.
Advisory and Governance
Ongoing governance support: quarterly reviews, register maintenance, policy updates, access coordination and training. Your designated owners keep day-to-day responsibility. We provide the structure, the review cadence and the operating guidance.
The Assessment determines whether Knowledge Core work is appropriate and identifies the first priority. Foundation implements an agreed knowledge architecture for one bounded domain. They are separate engagements, separately priced. An Assessment is not a discounted Foundation, and Foundation begins only once the relevant scope and source conditions are confirmed.
We do not provide medical, legal, privacy, security or compliance determinations, and we make no claims about clinical outcomes.
A working system, clear written standards, and designated people inside your practice who can maintain it after handoff. We are structured to build capability in your organisation rather than long-term dependence. The engagement is built to end.
A conversation, then a Snapshot or an Audit where appropriate. We scope implementation only after reviewing the current public information, technical conditions and operating constraints.
